There is a strong partnership between the Miami VA Healthcare System, University of Miami Miller School of Medicine ** and Jackson Health System **. We work closely together to ensure a broad and unified training experience for our Residents.
VA Office of Academic Affiliations
The Miami VA Healthcare System is a component of the Department of Veterans Affairs. As such, we operate our teaching programs under the direction of the VA Office of Academic Affiliations (OAA) . The OAA regulates the training activities at VA teaching hospitals throughout the United States. For more information, please see their web site.
Resident Application Materials
Prior to being assigned to the Miami VA Healthcare System for rotation, you must complete a separate application package for the Miami VA Healthcare System. The Miami VA Healthcare System is a separate entity from Jackson Health System and the University of Miami Miller School of Medicine, and in order to fulfill federal guidelines all residents must complete the Miami VA Healthcare System Resident Application in addition to that of UM/Jackson. Your clinical rotation to the Miami VA Healthcare System will not be authorized until the required documentation is received and reviewed by the Clinical Service Chief and the Chief of Staff.
The application package consists of nine documents. Print each of the forms listed below and fill them out completely. Also, be sure to include a curriculum vitae or resumé and a copy of your Driver’s License or Passport as indicated. The application materials must be mailed directly to the Miami VA Healthcare System. DO NOT EMAIL THE APPLICATIONS. Any applications received via email will not be accepted. All applications must be postmarked no later than May 2, 2009.
Should you not have the ability to print and/or view these electronic documents, please contact your individual service to have an application mailed to you. 2009 – 2010 Resident Orientation
All Residents are required to attend one of the mandatory Orientation Sessions held at the Miami VA Healthcare System. The Orientation will be held in the Auditorium located on the Second Floor of the Medical Center. The dates and time are as follows:
- PGY 1 - June 19, 2009 8:00 a.m. – 4:00 p.m.
- PGY 2 - June 30, 2009 8:00 a.m. – 4:00 p.m.
- Registration will begin at 7:30 a.m.
If you are unable to attend either Orientation as scheduled, please contact your Clinical Service for further information.
Clinical Service Contact Information
There are several Clinical Services that train Residents each year. We have listed the contact information for the Chief and the Administrative Officer for each Service. If you have questions or concerns, please first contact your Service. If they are unable to assist you, they will notify the Office of the Chief of Staff.
Physician Guide
Residents will receive our Physician Guide Booklet when they attend the Resident Orientation. This guide will provide more in depth information regarding the Miami VAMC’s policies, procedures and points of contact.
CPRS - The Electronic Medical Record
The Miami VA Healthcare System utilizes an electronic medical record known as CPRS (Computerized Patient Record System) to document all instances of patient care. This link will serve as an introduction to CPRS and provide instruction on how to access and use it. Further training with CPRS will occur at Orientation and through individual services.
Miami VAMC Computer Access
Our Information Resource Management Service (IRMS) is responsible for providing computer access to the employees of the Miami VA Healthcare System. Due to the fact that our computer system includes highly confidential medical information on all of our patients, the process for gaining computer access is strictly regulated.
This entire process for obtaining computer access can become time consuming when all of the necessary application materials, orientation paperwork, and other forms are not completed in a timely manner. Prior to rotating, Residents should confirm with their clinical service that all of the necessary documents have been completed to avoid a delay in the receipt of computer codes.
Patient Privacy
The Miami VA Healthcare System requires all employees and providers to complete patient privacy training in compliance with the Health Insurance Portability and Accountability Act (HIPAA) of 1996. This federal law protects the personally identifiable health information of our patients. All Residents must complete the HIPAA Training provided and turn in the printed certificate of completion to the assigned Clinical Service before they are allowed to see patients.
Information Security
In an effort to protect our computer system, we require all employees and providers to complete the facility’s Information Security Training . In addition, a certificate of completion must be turned in to the assigned Clinical Service before access to the computer system is granted.
Learner’s Perception Survey
At the end of your rotation to the Miami VA Healthcare System, Residents are strongly encouraged to complete the VA Learner's Perception Survey . This survey allows the Resident to give the Miami VA Healthcare System valuable feedback on their training experience. The survey results are used to improve the Residency program for future participants.
